Ultimate event hire terms

2. Quotations and Prices

All quotations are subject to availability and may be subject to change until a booking has been formally confirmed.

All prices are subject to change at any time prior to booking confirmation. A quotation does not constitute a confirmed booking until accepted by Ultimate Event Hire and any required payment has been received.

Prices may vary depending on the equipment required, event date, location, access requirements, installation requirements and other circumstances.

Delivery charges may apply and will depend on the location and requirements of the booking. Any applicable delivery, collection or additional transport charges may be stated separately on your quotation or invoice.

Where your requirements change after a quotation has been issued, Ultimate Event Hire reserves the right to revise the price accordingly.

3. Booking Confirmation

A booking becomes confirmed once we have received the required payment and have confirmed acceptance of the booking.

Your booking confirmation should be checked carefully. Please notify us as soon as possible if any details are incorrect.

Ultimate Event Hire will use reasonable care to provide the equipment and services stated on your confirmed booking.

4. Payments

A deposit or full payment may be required to secure your booking. The amount and payment schedule will be stated on your quotation or invoice.

All payments made to Ultimate Event Hire are non-refundable, subject to any rights that cannot legally be excluded or restricted under applicable UK law.

Once payment has been made, the payment will be treated as confirmation of your acceptance of the booking and these Terms & Conditions.

The remaining balance, where applicable, must be paid by the agreed due date.

If payment is not received by the required date, Ultimate Event Hire reserves the right to suspend or cancel the booking and/or recover any sums properly due.

5. Cancellation

If you need to cancel your booking, you must notify Ultimate Event Hire as soon as possible.

Payments already made are non-refundable, subject always to any mandatory cancellation, refund or other rights applicable under UK consumer law.

Where a customer cancels a booking, Ultimate Event Hire may also be entitled to recover any additional costs or losses that are legally recoverable under the circumstances.

Where a specific cancellation policy has been agreed in writing as part of your booking, that policy will also apply.

6. Changes to Your Booking

We will try to accommodate reasonable changes to your booking where possible.

Changes may include:

  • Increasing or reducing the marquee size
  • Changing guest numbers
  • Adding furniture
  • Adding lighting
  • Adding flooring
  • Changing delivery arrangements
  • Changing the event location
  • Changing the event date
  • Adding or removing other hire equipment

Changes are subject to availability and may result in additional charges.

Changing an event date may be treated as a cancellation of the original booking and the creation of a new booking, depending on the circumstances.

Any additional payment required as a result of a change must be paid before the additional equipment or service is provided.

7. Delivery Charges

Delivery and collection may incur additional charges depending on the location, distance, access requirements, equipment required and other logistical considerations.

Any delivery charge will be communicated as part of the quotation or booking where reasonably practicable.

Additional charges may apply where a delivery or collection requires additional time, labour, vehicles or visits due to circumstances that were not disclosed when the booking was made.

8. Delivery and Installation

Where delivery and installation are included in your booking, Ultimate Event Hire will agree a suitable delivery and installation time with you.

You are responsible for ensuring that the site is ready for installation at the agreed time.

The installation area must be reasonably accessible and free from obstructions.

You must inform us before installation if there are any circumstances that could affect access or installation, including:

  • Narrow entrances
  • Locked gates
  • Steps
  • Slopes
  • Restricted parking
  • Overhead cables
  • Trees or branches
  • Underground services
  • Uneven or unsuitable ground
  • Other structures
  • Restricted vehicle access

Additional charges may apply if previously undisclosed site conditions result in additional labour, equipment, waiting time or return visits.

9. Site Access

You must ensure that Ultimate Event Hire and its contractors have reasonable access to the site for delivery, installation, inspection and collection.

If access is not available when our team arrives, additional charges may apply for waiting time, aborted delivery or a subsequent visit.

Where access restrictions are known in advance, you must inform us before confirming your booking.

10. Ground Conditions and Installation Area

The customer is responsible for ensuring that the proposed installation area is suitable for the equipment being hired.

You must inform Ultimate Event Hire of any known underground pipes, cables, drainage systems, irrigation systems, septic tanks or other buried services.

Ultimate Event Hire will not be responsible for damage to underground services where their location was not disclosed to us before installation.

Where we consider a proposed site unsuitable or unsafe, we reserve the right to refuse installation or modify the installation arrangement.

11. Equipment Remains the Property of Ultimate Event Hire

All marquees, gazebos, party tents, furniture, equipment, accessories and other items supplied by Ultimate Event Hire remain the property of Ultimate Event Hire at all times.

Nothing in the hire agreement transfers ownership of any equipment to the customer.

The customer must not sell, sub-hire, lend, dispose of, modify or otherwise transfer possession of our equipment to another person without our prior written consent.

12. Return of Equipment and Continuous Hire Charges

All hired equipment must be made available to Ultimate Event Hire for collection at the agreed date and time.

If you withhold, retain, fail to return, obstruct collection of, or otherwise prevent Ultimate Event Hire from recovering its equipment after the agreed hire period, the equipment may be treated as being on continuous hire.

Where equipment is retained beyond the agreed hire period, additional hire charges may be applied for each additional period that the equipment remains unavailable to Ultimate Event Hire.

These additional charges may continue until the equipment is returned to, or successfully recovered by, Ultimate Event Hire.

The customer may also be responsible for any reasonable additional costs resulting from the continued retention of the equipment, including additional collection, transportation, labour, storage, repair or recovery costs where applicable.

The customer must not attempt to dismantle, relocate or return marquees or other specialist equipment unless expressly authorised by Ultimate Event Hire.

13. Customer Responsibility During the Hire Period

You are responsible for the hired equipment throughout the hire period once it has been delivered, installed or otherwise made available for use, except where damage results from circumstances for which Ultimate Event Hire is responsible.

You must take reasonable care of all equipment.

You must not:

  • Move a marquee or structure
  • Remove anchoring systems
  • Alter structural components
  • Attach unauthorised items to the structure
  • Use naked flames close to combustible materials
  • Make alterations to electrical equipment
  • Drill, staple, nail or otherwise damage the equipment
  • Allow unauthorised modifications
  • Use the equipment for a purpose for which it was not supplied

Any concerns regarding the condition or safety of the equipment should be reported to us immediately.

14. Damage to Equipment

You are responsible for loss of or damage to hired equipment caused by you, your guests, contractors or other persons attending your event, except where such damage results from normal wear and tear or circumstances for which Ultimate Event Hire is responsible.

Damage may include:

  • Cuts
  • Tears
  • Burns
  • Staining
  • Broken furniture
  • Damaged flooring
  • Damage caused by candles or flames
  • Damage caused by inappropriate use
  • Missing equipment
  • Unauthorised alterations
  • Damage caused by animals

Where equipment is damaged or lost, Ultimate Event Hire may charge the reasonable cost of repair or replacement.

15. Cleaning

Customers are expected to leave hired equipment in a reasonably clean condition.

Additional cleaning charges may apply where equipment requires excessive cleaning as a result of misuse, food, drink, mud, paint, confetti, glitter, chewing gum, candle wax, stains or other substances.

16. Smoking and Open Flames

Smoking, vaping or the use of naked flames inside marquees or other hired structures is prohibited unless expressly authorised in writing by Ultimate Event Hire.

Candles, heaters, cooking equipment, fireworks and other sources of heat must only be used where specifically approved.

17. Weather Conditions

Marquees and other temporary outdoor structures are designed to provide protection from normal weather conditions but cannot guarantee protection against every possible weather event.

Ultimate Event Hire reserves the right to postpone, modify, relocate or cancel an installation where weather conditions create an unacceptable safety risk.

The safety of customers, guests, employees and contractors will take priority.

18. Collection and Dismantling

Where collection and dismantling are included, Ultimate Event Hire will arrange a suitable collection time.

Customers must ensure that equipment is available and accessible for collection.

Failure to make equipment available for collection at the agreed time may result in continuous hire charges in accordance with Section 12 of these Terms & Conditions.

The customer must not dismantle marquees, gazebos or other structures supplied by Ultimate Event Hire unless expressly authorised.

19. Events Outside Our Reasonable Control

Ultimate Event Hire will not be liable for failure or delay caused by circumstances beyond our reasonable control, including extreme weather, flooding, fire, road closures, serious accidents, government restrictions, industrial disputes, power failures, public health emergencies or other circumstances outside our reasonable control.

Where such circumstances affect a booking, we will make reasonable efforts to discuss alternative arrangements with the customer.

20. Liability

Ultimate Event Hire will provide its services with reasonable care and skill.

Nothing in these Terms & Conditions excludes or limits liability where it would be unlawful to do so.

We do not accept responsibility for losses caused by circumstances outside our reasonable control.

Nothing in these Terms & Conditions affects your statutory rights.

21. Complaints

If you are unhappy with any aspect of our service, please contact Ultimate Event Hire as soon as possible.

Where there is an issue with equipment during an event, you should contact us immediately so that we have an opportunity to investigate and, where reasonably possible, resolve the issue.

22. Consumer Rights

Nothing in these Terms & Conditions is intended to exclude or restrict any rights you may have under applicable UK consumer protection legislation.

Where you are booking services as a consumer, your statutory rights remain unaffected.

23. Data Protection

Ultimate Event Hire will handle personal information in accordance with applicable UK data protection legislation and our Privacy Policy.

Information supplied during the booking process may be used to process your booking, communicate with you, arrange delivery and collection, provide quotations, process payments and meet legal or administrative requirements.

24. Governing Law

These Terms & Conditions and any agreement between you and Ultimate Event Hire are governed by the laws of England and Wales.

Any disputes will be dealt with by the courts of England and Wales, subject to any applicable consumer rights concerning jurisdiction.

25. Changes to These Terms & Conditions

Ultimate Event Hire may update these Terms & Conditions from time to time.

The version applicable to your booking will normally be the version in effect when your booking was confirmed, unless a change is required by law or agreed between you and Ultimate Event Hire.

The latest version will be published on our website.
